YOU MUST BE AN EVENDALE RESIDENT OR EVENDALE BUSINESS (business function only) TO RENT OUR FACILITIES.
Sporting Requests: In order to maintain safe conditions and to meet the needs of Evendale residents, the Evendale Recreation Department has instituted the following field/gym eligibility policy. Indoor facilities will ensure that one gym is always available to Evendale residents for open gym. Outdoor facilities will meet requests up to the point where facilities cannot meet the demand. This policy encompasses all recognized youth athletic leagues, as well as, independent teams and organizations as determined by the Evendale Recreation Department. Recognized leagues include ERD leagues, Cincy Central SAY Soccer, Greater Cincinnati Knothole Baseball, Cincinnati Premier Youth Basketball League, GIRL’s Softball Association, neighboring Catholic Youth Organizations, and Princeton City School District. To verify residency, coaches and/or organizations MUST submit team rosters to the Evendale Recreation Department complete with team name, coach’s name and contact information, and players last name and address. Rosters must be received by the established deadline before field/gym space will be granted to any organization and/or team. All rosters will be checked for accuracy utilizing Village of Evendale tax records. Teams not meeting this established policy and/or found to be falsifying information will be denied field/gym space. Misleading information may be grounds for refusal or field/gym space for an indefinite period of time. New teams, league or organizations may petition the Evendale Recreation Department for recognition by submitting complete rosters and administration contact information. A scheduling priority has been established. The priority is as follows:
- Evendale Recreation Department teams
- Recognized teams with residents – highest % of residents will determine priority
- CYO/Princeton City School District Teams – must have an Evendale resident on the team.
- Evendale Business Members – must work fulltime at an Evendale business and must show proof of paying Evendale tax (paystub, etc.) - highest % of Evendale employees on team will determine priority
Any team/coach/organization using field/gym must supply:
- Certificate of Insurance adding the Village of Evendale and its employees shall be names as additional insured in a general aggregate policy for $1,000,000. This must be received before any practices/games.
- The department’s Facility Use Permit and Release of Liability form must be completed.
- All coaches must have a background check completed through our department, unless an organization has a policy/procedure in place, and can release background information on coaches. Currently there is a $15 fee and forms must be completed and turned in to Evendale Recreation Department. Evendale Recreation Department will submit and results must be received back before team is able to use field/gym.
General Rules: Rental requests can be made online or in person, at the Recreation Center during regular office hours. Proof of residency must be furnished (current I.D.) if requested, and the resident must be at least twenty-one (21) years of age. Make checks payable to: Village of Evendale. Only cash, resident or business (company) check, or resident or business (company) credit cards are accepted.
Resident Wedding Reception, Resident's 25th or 50th Wedding Anniversary Requests:
- All flames must be contained. Some lights can be dimmed in this room. No pyrotechnics.
- Caterers and florists can make deliveries during normal hours of operation.
- No decorations may be attached to the walls, ceiling, or taped/attached to the floor, tables or chairs. Decorating can take place during normal recreation center hours of operation.
- Indicate set up (start) and clean up (end) time on application. If approved, a room layout sheet will be required with deposit one week before the event.
- The applicant is responsible for leaving the room clean and orderly.
A. Clean off all tables (supplies provided), and sweep and/or mop floor area. B. No smoking in the building or under any canopy. C. Do not allow young children to wander through the building without proper supervision. Failure to supervise young children may result in forfeit of deposit. D. Applicant must be present 100% of the time or forfeit of deposit will occur. E. Place all trash in receptacles. F. Any food or drink must be removed immediately after the event. G. No refunds are granted for room reservation fees if cancelled within the week of the event. All refunds must accompany contract copy and printed receipt. All refunds are subject to the department’s refund policy.
Rule governing alcohol permit (issued in conjunction with reserved room for parties only): By signing this application, the applicant states that he/she is at least twenty-one (21) years of age and will be present while the room is used. He/she will be held responsible for any damages that may occur while his/her group is using the room. In addition, he/she agrees to abide by the rules and regulations set forth by the Recreation Commission.
Description & Usage: 8800 square feet; Floor surface, maple; 50 round tables (will seat 8 people comfortably); 22, 6' rectangle tables (will seat 8 people comfortably); full stage area, 12' x 24'; half stage area, 12' x 16'; summer temperature, 70 degrees, winter temperature, 72 degrees; kitchen (as long as department is not using facility), ice machine, commercial size refrigerator and sinks for clean-up.
The Multi-Purpose room is rented for wedding receptions, silver or golden anniversaries. There is no rental fee for a golden anniversary, though the deposit is required. The bride, groom or their parents must be an Evendale resident. The couple celebrating the anniversary must be Evendale residents. The representative of an engagement or birth related ceremonial celebration must be an Evendale resident.
The Multi-Purpose room can be rented one year in advance. The room can be rented between the hours of 2:00 p.m. - 1:00 a.m for an additional fee. Room/building MUST be cleaned and cleared by 1:00 a.m.
Capacity: Tables & chairs, 400; Chairs only, 1200 (remember the department has only 400 chairs available for use).
The Recreation Center is accessible for the disabled.
Fees: A deposit and rental fee is required. The Community room (Flex room) can be rented for an additional charge. The Community room is often used for the serving of food. The room is adjacent to the Multi-Purpose room. Weather permitting, caterers have easy access to the room via the outside rear double doors.
